Below is a detailed list of all volunteer positions held within the Société des calligraphes de Montréal.

VOLUNTEER POSITIONS

All volunteer positions are usually renewed on a yearly basis but can be a case-by-case basis as well.

International Workshop Coordinator

  • Proposes teachers and class topics to the Board for approval
  • Organizes workshops for the Société with International teachers
  • Oversees contracts with the treasurer for workshops
  • Oversees communications with teachers
  • Respects the budget for workshops
  • Oversees reservation of classrooms
  • Keeps track of registrations and communications with participants
  • Helps with promotion of workshops
  • Any other related task

Local Workshop Coordinator

  • Proposes teachers and class topics to the Board for approval
  • Organizes workshops for the Société with local teachers
  • Oversees contracts with the treasurer for workshops
  • Oversees communications with teachers
  • Respects the budget for workshops
  • Oversees reservation of classrooms
  • Keeps track of registrations and communications with participants
  • Helps with promotion of workshops
  • Any other related task

L’Arabesque Editor

  • Oversees the newsletter, L’Arabesque
  • Generates and selects content for 20-24 page issues, three times per year
  • Creative freedom with general content being presented to the Board for approval at the Board Meetings (not necessary to attend the meetings but encouraged to do so)
  • Coordinates with content creators, translators, artists, photographers, etc.
  • Works in close collaboration with the graphic designer
  • Oversees revision and proofreading before printing
  • Works within the budget established by the Board
  • Oversees production of Exhibition catalogs when necessary
  • Any other related tasks

L’Arabesque Designer

  • Oversees graphic design work for the newsletter, L’Arabesque, three times per year
  • Works in close collaboration with the Editor
  • Applies comments and modifications during review process before printing
  • Produces electronic versions of all publications
  • Oversees design of Exhibition catalogs when necessary
  • Any other related tasks

Journées de la culture

  • Organizes the Journées de la culture every year in Montreal
  • Recruits other members to help with the event
  • Proposes activity and budget to the Board for approval
  • Helps with promotion of the activity
  • Any other related tasks

Exhibition Coordinator

  • Organizes member exhibitions
  • Proposes a theme, date, location, and budget to the Board for approval
  • Oversees registration of participants
  • Plans any events related to the exhibition (vernissages, etc.)
  • Produces a report at the end of the exhibition which is presented to the Board and to all members
  • Works with the L’Arabesque Editor and Graphic Designer if a catalog is to be produced
  • Any other related tasks

Publicity

  • Outreach to businesses related to calligraphy to buy ad space in the L’Arabesque
  • Outreach to news agencies, magazines, etc. to promote the Société des calligraphes de Montréal
  • Works closely with L’Arabesque editor
  • Works closely with exhibition coordinator when necessary

Hospitality

  • Purchases and distributes refreshments for in-person members’ meetings
  • Follows the budget allocated by the Board for refreshments
  • Attends meetings, 4 times per year
  • Oversees the attendance ledger for in-person meetings
  • Oversees the raffles for members’ meetings

Web Development

  • Keeps the website updated with content, news, etc.
  • Oversees and renews hosting contracts with the Treasurer
  • Uploads PayPal buttons when necessary
    • i.e.: in May when membership renewal is up, for all workshops, etc.
  • Updates Blog posts
  • Knowledge of WordPress is a plus
  • Any other website related tasks

Membership Coordinator

  • Oversees membership registry and renewals
  • Welcomes news members and collects their information
  • Works in close collaboration with the Treasurer and the L’Arabesque Editor
  • Oversees mailing of the L’Arabesque and any other physical communication to be sent to all members
  • Oversees the calligraphy of membership cards every year in May
  • Oversees the purchasing of membership cards, envelopes, stamps, and any material related to mailing of physical communication with the Board approved budget
  • Any other related tasks

Social Media

  • Oversees our Social Media presence (Facebook, Instagram)
  • Replies to comments and Direct Messages
  • Creates Facebook events for meetings, workshops, etc.
  • Updates the Instagram feed 2-3 times per month at minimum
  • Any other related tasks

Mail

  • Picks up physical mail from the P.O. Box
  • Opens the mail and distributes cheques to the President or Treasurer
  • Distributes newsletters from other societies to the Librarian
  • Notifies the Membership Coordinator of any changes of address for members or societies
  • Any other related tasks

Meetings secretary

  • Must attend the Members’ meetings
  • Takes General Members’ meeting minutes unless a the Board Secretary is tasked with this
  • Signs Annual General Assembly minutes (for use at the Bank if necessary)
  • Any other related tasks

Librarian

  • Oversees the book inventory and state of books
  • Oversees the collection of past L’Arabesque and newsletters from other societies
  • Proposes purchase of calligraphy books to the Board
  • Oversees book and magazine loans to members
  • Attends members’ meetings in order to display our books and loan them out
  • Any other related tasks

Translation and Proofreading

  • Translation and proofreading of any texts provided by the Editor or any Board Member which usually includes, but is not limited to:
    • Articles
    • Blog posts
    • E-mail communications
    • Publicity for workshops or events
